Privacy Notice
Imperial Fitness (Dhumbarahi, Kathmandu) respects your privacy. This notice explains what we collect when you contact us — on our website, by phone, or by message on WhatsApp, Instagram, or Facebook Messenger — or when you apply for a job, and how we use it. It follows Nepal's Individual Privacy Act 2075.

What we collect
- Members & enquiries (chat or forms): your name, phone number or social handle, and the content of the messages you send us — including your fitness goal and related details you choose to share.
- Job applicants: your name, phone number, position applied for, location, experience, and preferred shift.
Our messaging assistant
- When you message us on WhatsApp, Instagram, or Facebook Messenger, your conversation may first be answered by an automated assistant acting for Imperial Fitness, and is reviewed and continued by our staff. If you ask, we will tell you you're speaking with our assistant.
- To generate helpful replies, the content of your message may be processed by a trusted AI service provider solely to produce a response — it is never used for advertising and never sold.
Why we collect it
- To respond to your enquiry, understand your goal, recommend a suitable plan, and arrange a free consultation or trial.
- To review your application and contact you about the role.
How we use and protect it
- Your details are seen only by Imperial Fitness management and staff.
- Sensitive details (your name, fitness goal, and message text) are encrypted at rest on our systems.
- We do not sell your information or share it with unrelated third parties. Messages are delivered through the platform you contacted us on (e.g. WhatsApp / Meta) under that platform's own terms.
- We keep your enquiry and message data only as long as needed to help you. Inactive conversations are retained for up to 24 months from your last message and then deleted, unless you ask us to delete sooner.
Your choices
- You can reply STOP at any time on WhatsApp, Instagram, or Messenger to opt out of further messages.
- You can ask us to see, correct, or delete your information at any time — see how to request deletion below.
How to request deletion of your data
You can have the data we hold about you (your messages, name, phone number or social handle, and contact details) permanently erased at any time. To request deletion, use either of these:
- On the channel you messaged us: reply STOP on WhatsApp, Instagram, or Facebook Messenger to stop further messages, then simply message us asking us to erase your data and we will remove your stored conversation and contact details.
- By email: email pantp326@gmail.com with the phone number or social handle you used, and ask us to delete your data.
We honour deletion requests within 30 days. Stored message and contact data is encrypted at rest, and deletion permanently removes it from our systems.
